SummaryThis role arranges one-off bookings for hirers, liaises with regular user groups, issues (& collects) keys, and works with Treasurer to collect payments.
The Abbey Manor Community Centre lets rooms to various regular users (badminton, scouts, guides, churches, martial arts) and for one-off events such as family parties, wedding receptions, sports events, charity bingo, etc).
Your main workload will come from these one-off events, with 2 to 4 enquiries/bookings in a typical week.
An on-line diary lets potential hirers see whether the slot they want is free before they call you. A mobile phone answering service is used so that you can deal with calls at a convenient time, and the online diary can be updated directly from the 'phone (supplied).
You will follow a well established procedure and, once the Booking Form has been completed, will decide whether the hire can go ahead. On payment of a deposit (on-line, cheque or cash) the hirer's booking is confirmed.
Near to the date the balance of payment is taken and you will issue a key. The keys are returned via a secure facility at the Centre, so you can collect keys at a time to suit you.
Other volunteers will support you in hte role, especially the Treasurer (money handling, billing, refunds) and Chair (hiring and fee decision support).
This role requires someone responsible and reliable (you will be trusted with keys and charity cash) but it will suit a first time volunteer. Training will be provided if required - the Booking Secretary will normally become a Charity Trustee - but this will be discussed once established.
