We are expanding our events programme and are looking for an organised and proactive volunteer to provide essential administrative support in coordinating and delivering events across Somerset.
📝 Role Description
As our Events Coordinator, you will work closely with our Operations Manager to help coordinate and support the smooth running of our growing programme of bus stalls and community events.
Key Responsibilities:
- Coordinate and maintain the bus events calendar
- Assist local bus user groups and bus champions in making event bookings (e.g. contacting local councils, supermarkets, venues)
- Confirm volunteer cover (“manning”) for stalls and ensure event details are communicated clearly
- Organise the collation, printing, and distribution of timetables, leaflets, and marketing materials for each event
- Monitor and manage stock levels of materials and order more when needed
- Liaise with groups to ensure they receive materials on time
- Send out post-event evaluation forms via email, compile responses, and report key findings to the Management Committee
- Help coordinate public-facing competitions that promote bus use
- Support MP and Councillor engagement with events as needed
- Optional: Attend bus stalls to gain hands-on experience or provide support
- Carry out ad hoc admin tasks related to events planning and delivery
🕒 Time Commitment
This is a flexible volunteer role with seasonal variation in workload:
- Busy periods: June–October & February–May
- The role is currently performed by several members of the Management Team. Any assistance you can give would be helpful. The time commitment is somewhat flexible
- → Approx.
- February - May: 4 hours per month
- June - July - 4 hours per week
- August 4 hours per week
- August plus one day at a weekend (in person event preparation).
- September / early October - 2 hours per week (plus attending events if you can)
- November - January - no events
🌍 Location
Remote and flexible – most tasks can be done from home with occasional local engagement if desired.
It would also be helpful if you could attend one of our bus stalls to gain insight into the advocacy work we do.
🙋 Skill & Qualities We’re Looking For
- Strong organisational and communication skills
- Comfortable with email, spreadsheets, and basic admin tasks
- Reliable and self-motivated
- Good attention to detail
- Interest in community events and/or public transport is a bonus
